Having a mobile phone for business is fine if there are just one or two of you in the business. However, if there are three or more people in a business, then you need a phone system. A phone system is mission critical to your business, it’s the front-line between you and your customers.
As a business, the first thing you need is a PBX system. PBX stands for Private Branch Exchange which is a private telephone network within your company. You can have a number of outside lines but many phone sets. Each department can call each other up to their extension, allowing for better internal communication. Your PBX system can on site or hosted.

Over the next couple of months, we’ll share with you the most popular and best features of a phone system. We’ll start with three for today. It’s funny, well interesting really, because the first two that come to mind are ones that I would never have thought about, let alone have top of the list a few years ago.

1. Voicemail to Email

This is proving to be very popular. We are constantly being asked for this. I understand why – it’s great to keep up to date with your office phone as well as your mobile phone. It really is as simple as it sounds, you have the ability to send voicemail messages as attachments to your email.

Some clients are using it to keep voicemails on file, as often times the phone system can’t store too many voicemails. Other clients have set it up that it can go to multiple email addresses so the entire group or department can stay in touch with their customers.

It can be set up in a few minutes and the benefits last.

2. Office Phone on the Go

I don’t mean bringing around the PBX with you in the company car! This is a major advancement in the area of phone systems. It offers major flexibility in the way businesses can operate and is in line with new business practices.

There are a number of ways you can do this. One of the first ways is through an app on your smart phone. You can get your office calls diverted to your app on the mobile phone. You can take calls on your phone just as if you were sitting at your desk.

Another way is by using a soft phone. Employees who work from home or off-site with a client can use these. They are still office phones but they can be used anywhere using a wifi network.

Another feature that is very useful and cost-effective is auto attendant. In a nutshell, callers can be transferred to an extension without going through the main reception. It’s a great feature especially when you have regular customers or clients calling you. They can bypass reception and call directly to the department or person that they need to.

In addition, if you didn’t want to give out extension numbers, you could have a dial-by-name directory. So when that person’s name or department is called out, they just have to hit a button and they are connected straight through.

It can connect to a voicemail if the person doesn’t pick up or get diverted to reception to leave a message.

To finish today, clients are finding these features for a small business phone system really useful. While they may be small features, they means so much to their customers, and isn’t that who really matters.
